Terms of Service

These Terms of Service govern your access to and use of the ReviewMyVisa website, web application, mobile applications, APIs, and related services, features, content, and tools, together the Services. By creating an account, accessing, or using the Services, you agree to these Terms. If you do not agree, you must not use the Services. If you use the Services on behalf of a company, organisation, or other legal entity, you represent and warrant that you have authority to bind that entity to these Terms. In that case, "you" and "your" refer to both you and that entity.

2. The Services

ReviewMyVisa is a visa-readiness and document-analysis platform. It helps users organise information, upload and analyse documents, identify potential issues, and generate summaries, guidance, readiness insights, and related outputs. The Services are provided for informational and administrative support purposes only. We are not a government authority. We do not make immigration decisions. Unless expressly stated otherwise, we are not acting as your solicitor, barrister, regulated immigration adviser, or legal representative, and nothing in the Services constitutes legal advice, immigration advice, tax advice, financial advice, or any other regulated professional advice. Any outputs, flags, scores, summaries, recommendations, checklists, or AI-generated content are provided as supportive tools only. They may be inaccurate, incomplete, out of date, or unsuitable for your circumstances. You remain solely responsible for reviewing and verifying all information, deciding what to submit, obtaining professional advice where appropriate, and making all submission decisions. We do not guarantee visa approval, application success, processing speed, compliance, or any other immigration outcome. We may add, remove, suspend, improve, or modify features from time to time. 3. Eligibility and accounts

You may use the Services only if you are legally capable of entering into a binding contract under applicable law and are not prohibited from using the Services under applicable law. The Services are not directed to children under 16 acting alone. If a user is under 18, use of the Services must be supervised or authorised by a parent, legal guardian, or other authorised representative who accepts these Terms on the minor's behalf. You must provide accurate, current, and complete information when creating an account and keep it updated. You are responsible for maintaining the confidentiality of your account credentials and for activities that occur under your account, except to the extent caused by our breach of duty. You must notify us promptly if you suspect unauthorised use, loss of credentials, or a security incident affecting your account. 4. User Content

You are responsible for your User Content and for ensuring that you have all rights, permissions, consents, and lawful authority needed to upload, use, and instruct us to process it. Because visa-related documents can contain sensitive data, you should only upload what is reasonably necessary for your intended use of the Services and remove or redact unnecessary information where feasible. Unless a feature expressly requires it and we provide an appropriate notice, you should not upload criminal offence data or other highly sensitive material that is not strictly necessary for your purpose.

5. Licence you grant to us

You grant us a limited, non-exclusive, worldwide, royalty-free licence to host, copy, store, transmit, reproduce, format, process, analyse, display, and otherwise use your User Content only as reasonably necessary to provide, operate, secure, maintain, troubleshoot, improve, and support the Services, to generate requested outputs, to prevent abuse, and to comply with legal obligations. This licence continues while your User Content remains on our active systems and ends when it is deleted from those systems, subject to reasonable backup retention, legal obligations, security logging, fraud prevention, and evidential preservation.

6. AI features and third-party providers

The Services may use artificial intelligence, machine learning systems, automated extraction tools, and third-party infrastructure or service providers, including third-party AI model providers and payment processors. You acknowledge and agree that different models, providers, and processing routes may produce different outputs, and that outputs may vary over time. We may change providers, models, routing logic, technical methods, or infrastructure at any time for quality, cost, security, legal, or operational reasons. We do not make solely automated decisions with legal or similarly significant effects about you. The Services provide supportive information only. Final decisions are made by you, your advisers, and relevant public authorities.

7. Acceptable use

You must not, and must not assist others to, do any of the following: • use the Services unlawfully or in breach of sanctions, export controls, anti-fraud rules, immigration rules, privacy laws, or other applicable law; • upload malware, harmful code, or content designed to damage, interrupt, or interfere with the Services; • attempt to gain unauthorised access to systems, accounts, models, data, or environments; • scrape, probe, scan, benchmark, stress test, reverse engineer, or bypass security, metering, or rate limits except where such restriction is not permitted by law; • use the Services to create, support, submit, or facilitate false, forged, manipulated, fraudulent, or misleading documents, statements, identities, or submissions; • impersonate any person or misrepresent authority, affiliation, identity, or source; • interfere with the proper working of the Services or other users' use of the Services; • use the Services in a way that infringes the rights of others, including privacy, confidentiality, intellectual property, and data protection rights; • use the Services to build a competing product or to train another model or service using our outputs, except where we expressly permit that in writing. We may investigate suspected violations and may remove content, suspend access, limit functionality, or terminate accounts where reasonably necessary.

8. Paid plans, credits, subscriptions, and billing

Certain features require payment. Pricing, usage limits, token or credit costs, subscription terms, and included features will be shown to you before purchase. Credits or tokens are contractual units used within the Services. They are not money, stored value, e-money, legal tender, or personal property, and except where required by law or expressly stated by us, they are non-transferable, non-exchangeable, and non-redeemable for cash. Where usage-based charging applies, credits or tokens may be deducted when a process begins, when it completes, or in stages, as explained at checkout or in-product. Subscriptions, where offered, may renew automatically unless cancelled before the relevant renewal date. We will present renewal terms, billing frequency, and cancellation information clearly at checkout. You authorise us and our payment processors to charge the payment method you provide for applicable fees, taxes, and renewal charges. You are responsible for any applicable taxes, duties, levies, or withholding obligations, except taxes based on our net income. 9. Consumer cancellation rights and immediate-performance consent

If you are a consumer, you may have statutory cancellation rights under applicable law, including where you purchase online at a distance. Where a paid digital service or digital content is supplied immediately at your request, you expressly request immediate performance and acknowledge that your statutory cancellation rights may be reduced, lost, or subject to payment for the part already supplied, to the extent permitted by law and properly explained to you at checkout. Nothing in these Terms removes any mandatory statutory rights you have as a consumer.

10. Refunds, failed processing, and billing disputes

Refund eligibility depends on what you purchased, whether you are acting as a consumer or a business, where you live, the stage of supply, and applicable law. If a paid analysis or paid process fails primarily because of a verified technical failure of our Services, a third-party provider failure, or another issue not caused by your breach of these Terms, we may, at our option, re-perform the service, restore the relevant credits or tokens, issue service credit, or provide a refund where appropriate. If a process completes and returns an output, fees or credits used are generally non-refundable merely because you disagree with, dislike, or choose not to use the output, subject always to your mandatory legal rights. If your payment is reversed, declined, charged back, or reasonably suspected of being fraudulent, we may suspend the affected account, recover the amount owed and our reasonable recovery costs where legally permitted, and restrict future purchases pending resolution.

11. Third-party services

The Services may contain links to or integrations with third-party services, tools, websites, data sources, model providers, payment processors, hosting services, cloud providers, or other third-party products. We are not responsible for third-party services or content, and your use of them may be governed by separate terms and privacy notices. We do not guarantee the availability, security, or performance of any third-party service.

12. Intellectual property

We and our licensors own all rights, title, and interest in and to the Services, including software, interfaces, workflows, designs, text, databases, graphics, branding, logos, compilations, and all associated intellectual property rights, excluding your User Content. Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable right to access and use the Services for your internal lawful purposes. You must not use our name, trademarks, logos, domain names, or branding without our prior written permission. If you provide ideas, suggestions, enhancement requests, comments, or other feedback, you grant us a perpetual, irrevocable, worldwide, royalty-free licence to use, reproduce, adapt, disclose, and exploit that feedback without restriction or payment, unless prohibited by law.

13. Availability, maintenance, and beta features

We aim to provide the Services with reasonable care and skill, but we do not guarantee uninterrupted, error-free, secure, or always-available operation. We may carry out maintenance, deploy updates, patch vulnerabilities, change technical requirements, and temporarily interrupt access where reasonably necessary. From time to time, we may label features as beta, pilot, preview, experimental, or similar. Those features may be incomplete, unstable, or withdrawn at any time and may be subject to additional terms.

14. Security and responsible disclosure

You must not test, scan, or probe the security of the Services without our prior written authorisation. If you discover a suspected vulnerability, please report it promptly to [SECURITY EMAIL] with reasonable details and do not exploit it, disclose it publicly, or access data that is not your own.

15. Privacy and data protection

16. Suspension and termination

You may stop using the Services at any time. Where account deletion is available, you may request it through the product or by contacting us. We may retain certain information after deletion where reasonably necessary for legal compliance, accounting, dispute resolution, evidential preservation, fraud prevention, abuse prevention, or security. We may suspend, restrict, or terminate access immediately, with or without notice, where we reasonably believe that: • you have materially breached these Terms; • your use creates a security risk, fraud risk, legal risk, or operational risk; • we are required to do so by law, court order, regulator, sanctions regime, or public authority request; • there is unusual activity suggesting unauthorised access, non-payment, abuse, or system misuse. Where it is reasonable and lawful to do so, we may give notice and an opportunity to remedy a breach before termination. If we terminate your account for convenience and not because of your breach, fraud, or legal restriction, we will deal with any unused prepaid subscription period or prepaid service value in a fair and lawful manner.

17. Effect of termination

On termination, your right to use the Services ends immediately. Termination does not affect accrued rights, payment obligations, dispute rights, or any provisions that by their nature should survive, including provisions relating to intellectual property, disclaimers, liability, governing law, and dispute resolution. We may delete or anonymise User Content after termination in accordance with our retention practices, except where retention is reasonably necessary for lawful purposes.

18. Disclaimers

To the fullest extent permitted by law, and subject to your mandatory rights, the Services are provided on an "as is" and "as available" basis. We do not warrant that the Services will be uninterrupted, error-free, fully secure, always available, or compatible with every device, browser, workflow, document format, or jurisdiction. We do not warrant that any output will be accurate, complete, lawful for submission, accepted by any authority, or suitable for your circumstances. Any timelines, estimates, issue flags, scores, or recommendations are indicative only and do not represent guarantees or professional advice. Nothing in these Terms excludes any condition, warranty, or representation that cannot lawfully be excluded.

19. Limitation of liability

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited. If you are a consumer, nothing in these Terms affects your statutory rights, including any rights relating to services not performed with reasonable care and skill, or rights relating to digital content or services under applicable consumer law. To the fullest extent permitted by law, we are not liable for any indirect, incidental, special, consequential, exemplary, or punitive loss, or for any loss of profits, revenue, business opportunity, anticipated savings, goodwill, reputation, or data, except where such exclusion is not permitted by law. Our total aggregate liability arising out of or in connection with the Services and these Terms, whether in contract, tort, negligence, misrepresentation, restitution, or otherwise, shall not exceed the greater of: • the total amount paid by you to us for the specific Service giving rise to the claim in the twelve months preceding the event giving rise to the claim; and • £100, if no amount has been paid. The limitations in this section apply only to the extent permitted by applicable law and only so far as they are fair and enforceable in the circumstances.

20. Business user indemnity

If you use the Services on behalf of a business, organisation, law firm, adviser, consultancy, or other non-consumer entity, that entity agrees to indemnify and keep us indemnified against losses, liabilities, damages, costs, and expenses, including reasonable legal fees, arising from: • its unlawful use of the Services; • its breach of these Terms; • its User Content; • its infringement of third-party rights; or • its fraud, dishonesty, or wilful misconduct. This section does not apply to consumers except to the extent an indemnity is expressly lawful and enforceable under applicable law.

21. Changes to the Terms

We may amend these Terms from time to time for reasons including changes to law, regulation, security, business operations, providers, features, or the Services. If we make material changes, we will take reasonable steps to notify you, such as by email, in-product notice, or posting an updated version with a new effective date. If you do not agree to a material change, you must stop using the Services before the change takes effect. Continued use after the effective date means you accept the updated Terms.

22. Governing law and disputes

These Terms and any non-contractual disputes or claims arising out of or in connection with them are governed by the laws of England and Wales, except to the extent mandatory consumer laws in your country of residence require otherwise. If you are a business user, the courts of England and Wales shall have exclusive jurisdiction. If you are a consumer, you may also have the right to bring proceedings in the courts of your country of residence under applicable mandatory law. Before starting formal proceedings, the parties agree to try in good faith to resolve the dispute by contacting the other party and allowing a reasonable period for review, except where urgent relief is required.

23. General

If any provision of these Terms is found unlawful, invalid, or unenforceable, that provision shall be treated as severed to the minimum extent necessary and the remaining provisions shall continue in full force. Our failure or delay in exercising any right does not waive that right. You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign or transfer our rights and obligations under these Terms in connection with a merger, acquisition, group reorganisation, financing, or sale of business or assets. These Terms, together with any policies and documents expressly incorporated by reference, form the entire agreement between you and us relating to the Services and supersede prior discussions relating to the same subject matter.
